The Arcadia University Departments of Mathematics and Computer Science, Biology, Chemistry/Physics and Forensic Science are seeking a shared full-time administrative assistant with excellent interpersonal and organizational skills and experience in an office setting. The position supports all of the administrative needs of the Mathematics and Computer Science Department and some of the day-to-day needs of the Biology and Chemistry/Physics & Forensic Science Departments. The successful candidate will be an essential contributor to creating a welcoming and inclusive environment for all students. Approximately 2/3 of the work week supports Mathematics and Computer Science and 1/3 supports Biology and Chemistry/Physics & Forensic Science.

Day-to-day department needs supporting Mathematics and Computer Science, Biology, and Chemistry/Physics & Forensic Science: Includes managing work study students' hours and time sheets; ordering office supplies; posting departmental announcements; scanning documents; scheduling rooms; data requests; managing service contracts and equipment maintenance; communicating with IT and Facilities; supporting faculty or staff searches.

Manage the departmental budget for Mathematics and Computer Science. Liaise with Accounts Payable Department for reimbursements and invoices; submit purchasing requisitions; assign and track reimbursements; track expenses and reconcile charges for the department budget; manage the departmental credits card; reconcile charges for the departmental credit card.

Essential Functions:

Work study students. Mathematics and Computer Science and Biology/Physics: Hire and manage student workers performing routine departmental jobs. All departments: Track and approve work study hours.

Coordinating departmental events. Mathematics and Computer Science and Biology/Physics: Reserving rooms, ordering catering, and coordinating with Facilities; events including commencement receptions, capstone, visitor lectures, logistics around visiting professors, academic activities, and searches.

Jiangsu program. Mathematics and Computer Science: Support the Jiangsu Management Committee in planning and supporting academic programming, co-curricular events, and international visitors travel and accommodations; Arcadia faculty members' travel; Arcadia faculty members' academic needs while abroad.

Complex data sets. Mathematics and Computer Science: compiling, organizing, and maintaining files and records such as confidential student records and summer placement exams; posting or reconciling data or information related to accounting or students related projects; document management using informational technology systems.

Media and marketing. All departments. Update unit marketing including print; website; and social media. Create department events on the Arcadia Events Calendar.

Minimum Requirements:

  • Associates degree
  • Bachelor's degree preferred
  • 1-3 years of relevant work experience

Project/Program/Service Management: Ability to coordinate and administer programs/project activities and protocols. Ability to manage resources, monitor activities, and assess risks and quality issues associated with the program/project.

Written and Oral Communications: Ability to present information to individuals or groups; ability to deliver presentations suited to the characteristics and needs of the audience. Ability to convey information clearly and concisely to groups or individuals ether verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others. Ability to impact and influence others to further the institution's strategic objectives.

Technical, Computer and Software Skills: Ability to use Microsoft Office (Excel, PowerPoint, Word) and basic databases and software.
